Job Title: Administrative Coordinator - US Medical Affairs

Location: Gaithersburg, MD

Accountabilities:

You will provide direct support to our new Head of Medical Affairs USMA based on Gaithersburg, MD. Your role will be diverse and challenging, focusing on delivering high-quality professional business support to other senior leaders within our department as needed. Your responsibilities will range from managing sophisticated calendars, coordinating consultancy contract requests and handling multi-location domestic and international travel arrangements.

Typical Accountabilities include but are not limited to:

  • Provide direct support to Head of Medical Affairs Department located in Gaithersburg
  • Diary management - Manage sophisticated calendars for our Medical Affairs leadership team, schedule meetings, interviews, and special events; prioritize calendar conflicts.
  • Provide specialist project-based business support when required, eg. Co-ordination of consultancy contract requests, assist with payment requests.
  • Support MA team with team events in Gaithersburg, MD
  • Handle multi-location domestic and international travel arrangements as well as live and virtual meetings/conferences
  • Respond to more complex or escalated enquiries from other PA/administration staff
  • Plan, organize, and schedule own workload through system maintenance so that all activities are completed accurately and on time
  • Supporting onsite onboarding for ER&I Gaithersburg staff
  • Create and maintain team distribution lists
  • Support and contribute to creating a high performing business support team, facilitating good cross-team collaboration
  • Manage expense reports for senior level executives
  • Maintain/update department SPOL site
  • Arrange department specific onboarding tasks for new starters

Essential Skills/Experience:
  • High School Diploma or equivalent, Advanced degree preferred
  • 5+ years of experience in an administrative role with direct support to VP executives or above
  • Diary management experience/calendar experience
  • Strong knowledge of Microsoft office - outlook and PowerPoint
  • Experience working in a fast-paced global environment balancing competing priorities
  • Excellent organization skills and the ability to manage multiple projects or tasks simultaneously and efficiently

Desired Skills/Experience
  • Pharmaceutical background
  • Knowledge of systems such as SharePoint online, Concur, Coupa
  • Ability to interact confidently with executives and employees at all levels
  • Ability to prioritize time critical assignments
  • Experience providing high quality, professional support service, working proactively and independently without day-to-day direction

The annual base pay (or hourly rate of compensation) for this position ranges from $30.38/hr to $45.58/hr. Hourly and salaried non-exempt employees will also be paid overtime pay when working qualifying overtime hours. Base pay offered may vary depending on multiple individualized factors, including market location, job-related knowledge, skills, and experience. In addition, our positions offer a short-term incentive bonus opportunity; eligibility to participate in our equity-based long-term incentive program (salaried roles), to receive a retirement contribution (hourly roles), and commission payment eligibility (sales roles). Benefits offered included a qualified retirement program [401(k) plan]; paid vacation and holidays; paid leaves; and, health benefits including medical, prescription drug, dental, and vision coverage in accordance with the terms and conditions of the applicable plans. Additional details of participation in these benefit plans will be provided if an employee receives an offer of employment. If hired, employee will be in an "at-will position" and the Company reserves the right to modify base pay (as well as any other discretionary payment or compensation program) at any time, including for reasons related to individual performance, Company or individual department/team performance, and market factors.
