The Department of Anesthesiology, Perioperative, and Pain Medicine, at Stanford University's School of Medicine, is a world-leading department that offers comprehensive training and perioperative patient care, pain management, and critical care medicine as well as cutting-edge research, encompassing a wide spectrum of programs in basic, translational, clinical, health services and medical education.

Our Faculty Affairs office in Anesthesiology, is seeking a Faculty Affairs Administrator 2.This role will provide analysis and guidance in the department regarding faculty and academic staff appointments, reappointments, promotions, and provide support to the faculty search and onboarding processes. The FAA2 will also be the first point of contact for faculty inquiries and will ensure compliance with policies and processes set by the School of Medicine, the University, and the Office of Academic Affairs.

Duties include:

  • Document and interpret policies and processes for contributors to the appointment/promotion form (chair, faculty lead, and candidate).

  • Manage appointment, reappointment, and promotion processes using Stanford systems (e.g. FASA)

  • Collect confidential referee letters; conduct Clinical Excellence Surveys using Qualtrics

  • Maintain communications with external referees and evaluators to guide them through (re)appointment and promotion processes.

  • Identify problematic information in candidates' materials and advise on how to resolve the problem. May provide first level approval for appointments and reappointments.

  • Prepare offer letters, as needed, which may include collaborating with the department's Faculty Compensation Team.

  • Serve as primary point of contact, as needed, in orienting new faculty to the department, school, and university. Troubleshoot issues as they arise.

  • Processes appointments, reappointments, promotions, terminations, and FTE changes using Stanford systems (e.g. FASA); collects confidential referee letters; conducts Clinical Excellence Surveys using Qualtrics; stays in contact with external referees and evaluators to guide them through (re)appointment and promotion processes.

    DESIRED QUALIFICATIONS:

    Excellent interpersonal, organizational, and time management skills; experience using SmartSheet; prior experience in a faculty affairs role at Stanford; familiarity with the School of Medicine's Clinician Educator Line.

    EDUCATION & EXPERIENCE (REQUIRED):

    Bachelor's degree and three years of experience working with administrative processes, or combination of education and relevant experience.

    KNOWLEDGE, SKILLS AND ABILITIES (REQUIRED):

    • High level of attention to detail and accuracy.
    • Ability to track, monitor and adhere to deadlines.
    • Ability to learn university systems.
    • Experience working with databases and Microsoft Office suite.
    • Excellent communication skills.
    • Demonstrated ability to act with tact and maintain confidentiality.
    • Demonstrated problem solving and analytical skills.
    • Demonstrated ability to work well with Stanford colleagues and clients and with external organizations.
    • Demonstrated commitment to personal responsibility and value for safety, shown through communication of safety concerns and use and promotion of safe behaviors based on training and lessons learned.

    PHYSICAL REQUIREMENTS*:

    • Frequently perform desk-based computer tasks, frequently sitting, stand/walk, grasp lightly/fine manipulation.
    • Occasionally twist/bend/stoop/squat; reach/work above shoulders; grasp forcefully; use a telephone.
    • Rarely sort/file paperwork or parts, kneel/crawl, twist/bend/stoop/squat, lift/carry/push/pull objects that weigh up to 10 pounds.

    WORKING CONDITIONS:

    • Occasionally extended work hours are required

    • This is a hybrid role. The successful candidate will work two days per week on site in the Department of Anesthesiology, Perioperative and Pain Medicine, located at 300 Pasteur Drive.

    The expected pay range for this position is $77,000 to $93,000 per annum.

    Stanford University provides pay ranges representing its good faith estimate of what the university reasonably expects to pay for a position. The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location and external market pay for comparable jobs.
