General Summary:
Under general supervision provides operational and administrative support to staff and team members. Responsible for administration of team member benefits in all operations. As needed, provides special guidance and assistance on various team member benefit plans. Installs new or modified plans and team member benefit policies. Administration of existing plans and team member benefit policies.
Principal Duties and Responsibilities:
- Manage Payroll/Time and Attendance system on a weekly basis.
- Prepares announcements material, booklets, and other media for communicating new plans to team members. Assists with team member meetings and arranges for enrollment of team members in optional plans. Revises and reissues all communications material on benefits from time to time. Advises and counsels management and team members on existing benefits.
- Handles benefit inquiries and complaints to ensure quick, equitable, courteous resolution. Maintains contact in person, and by phone or mail, with hospitals, physicians, insurance companies, team members, and beneficiaries to facilitate proper and complete utilization of benefits for all team members in compliance with HIPAA regulations.
- Assist team members on entering and updating in medical/dental insurance system.
- Maintain FMLA/Short-term Disability/Workers' Comp for team members as required.
- Generate and update Lost Hours Report.
- Responsible for tracking daily attendance report; logging points in system as well as sending attendance points letters.
- Create new hire packets, process E-Verify and Fleet Safety Program, Create and maintain badge system (to include security access), Oracle access, Assist with password resets, etc.
- Process terminations.
- Order and disburse uniforms.
- Act as back up to answer front office phone, set up refreshments for visitors, send out birthday cards, pick up birthday cakes as needed.
- Provide assistance and maintenance of specialized human resources databases, computer software systems and manual filing systems.
- Scanning confidential documents for team members into personnel file (i.e. evaluations, disciplinary actions, etc.).
- Administration of Zeus store, Form Center, bulletin boards, AppSpace.
- Responsible for creating essential HR reports; emergency employee listing, daily attendance list, employee birthday lists, new hire attendance report, Perfect Attendance Report.
- Manages and schedules Employee of the Month program and Meetings with Management.
- Serves as back-up in maintaining data entry and reporting needs to ISO training database.
- Performs miscellaneous job-related duties as assigned.
Knowledge, Skills, and Abilities Required - Bachelor's degree in business or human resources management, preferred.
- 3-5 Years of Human Resources experience.
- Ability to handle a multi-tasking environment.
- Strong computer skills in Microsoft Office.
- Prior experience in payroll processing.
- HRIS experience preferred.
- Strong persuasive and writing skills preferred.
- Accuracy and attention to detail is a must.
