Purpose

The New Site Project Manager will serve two core functions: developing a comprehensive standardized assessment mechanism for supporting CWS HQ and potential partners with evaluating potential new Matching Grant sites and as supporting the onboarding, training and development of new MG implementing partners in collaboration with other staff at CWS HQ. This position requires independent judgment on behalf of CWS and high degree of flexibility, diplomacy, excellent problem-solving skills and an in-depth knowledge of the circumstances surrounding refugee resettlement, the Matching Grant and other Office of Refugee Resettlement programs and office operations. Materials developed would be targeting both CWS and potential partner organizations to ensure efficient collaboration, understanding and preparedness to implement all requirements of the Matching Grant program. An important prerequisite for this position is the ability to work collaboratively as part of a team in a collegial manner and to work independently to carry assignments through to completion.

This position is funded through Dec. 31, 2024 with possibility of extension depending on funding and need.

Responsibilities

Essential Duties:

  • In coordination with the Associate Director, Economic Opportunity, Director for Integration, and HQ Economic Opportunity team, develop comprehensive tools to support CWS HQ and potential MG partners with assessing and evaluating need, feasibility and steps for starting successful Matching Grant sites. Develop relevant SOPs, toolkits and resources establishing clear step by step procedures and processes for effectively guiding CWS programs and potential MG sites to quickly and efficiently evaluate and responsibly implement MG programming in line with all program requirements
  • Maintain portfolio of new MG sites to field day-to-day questions/inquiries as they arise, particularly during proposal development and during post-award activities.
  • Facilitate and create live and self-study training tools to assist onboarding process, including (but not limited to) Community of Practice sessions, webinars, and Articulate sessions
  • Liaise with State Refugee Coordinators and State Refugee Health Coordinators to discuss new MG, PC and R&P site development opportunities
  • Collaborate with CWS HQ Senior Manager, National Community Engagement and Program Officer, Volunteer Engagement to develop new office's capacity for private engagement for match, including (but not limited to) TA and training materials on outreach for volunteer, partnership, and in-kind engagement
  • Support new MG office proposals for the CWS network
  • Manage the onboarding and introduction of new Matching Grant sites, including hosting introductory calls with CWS-HQ staff, distribution lists and resource sharing
  • Build new MG site onboarding timelines, SOPs and processes
  • Coordinate and evaluate training for new Matching Grant managers and case management staff
  • Monitor initial MG enrollments at new sites to support quality and compliant programming
  • Monitor new MG sites through regular case file review and data analysis in consultation with relevant CWS HQ staff
  • Coordinate regular training and technical assistance calls with new MG sites on topics relevant to the Matching Grant Program
  • Facilitate peer-to-peer/mentor training opportunities between new and experienced MG sites
  • Coordinate closely with MG site liaisons on updates to operations and challenges of new MG sites to ensure proactive technical assistance and training
  • Assist with 101-level onboarding and training, as needed/requested, for new MG staff
  • Monitor and track progress of new MG programs status and coordinate with relevant CWS-HQ program staff to ensure handover of ongoing technical assistance when site is ready to proceed with program enrollment and implementation.
  • Develop SOP for training and onboarding of new MG staff, including expectations and methods for development of institutional knowledge at management/supervisory level at resettlement office
  • Represent CWS and RWS in meetings with internal and external stakeholders
  • Perform other related duties and special projects as requested
  • Consult with relevant CWS Departments and external stakeholders, including but not limited to programs, Finance, Compliance, Community Belonging and Transformation, and Operations and existing or potential partners to ensure a holistic approach to creation of standardized systems for the project.

Qualifications

Experience:

  • At least 6 years experience in a local resettlement affiliate or a national office of a resettlement agency necessary; local resettlement affiliate Matching Grant experience strongly preferred;
  • At least 2 years proven project management experience
  • Experience creating toolkits, training and SOPs to clearly and accurately convey process and requirements to audiences new to specific programming
  • Experience with federal grants strongly preferred
  • Strong understanding of grant reporting and compliance requirements
  • Excellent project and data management skills;
  • Knowledge and experience in working with Microsoft Word, Excel, Power Point, and database software is essential; experience with Microsoft SharePoint and Articulate 360 (or other Learning Management System) preferred;
  • Excellent organizational and time management skills and ability to manage a large and diverse workload under pressure and with competing priorities;
  • Ability to maintain a high performance standard with attention to detail;
  • Experience in general office work, processing information and materials and maintaining records and files

  • Strong interpersonal and diplomacy skills; ability to work collaboratively and effectively with partners and teams;
  • Ability to conduct oneself in a professional and courteous manner at all times to represent the professional and institutional interests of CWS;

Education and Certifications:

  • Bachelor's degree or equivalent work experience.

Work Location:

This position is a US-based remote role with in-person responsibilities. Employees wishing to maintain a remote work arrangement must be able to fulfil the following conditions:

  • Ability to maintain secure and appropriate personal work environment for day-to-day work

  • Ability to adhere to CWS data security policies and protect sensitive and personally identifiable information
  • Regular work hours must span core business hours 10AM-4PM Eastern time - some flexibility in core work hours depending on candidate time zone
  • Must use CWS provided equipment such as laptop and cell phone
