Governors State University is seeking to hire an Office Manager to provide administrative support and address critical needs within the Department of Social Work. The Office Manager exercises considerable independent judgment, although subject to administrative review by the Department of Social Work Chair, the Director of Field Education, the Program Director's Administrative Assistant and the Dean of CHHS. This position necessitates a high degree of skill in multitasking, boundary spanning, project management, confidentiality, communications, and interpersonal skills. Duties performed include but are not limited to maintaining calendars, scheduling appointments, planning for meetings and travel, gathering and providing information orally and in writing, developing or maintaining documents, transcribing material, performing liaison or coordination functions, processing mail, maintaining or coordinating the management of files and records systems.Essential Responsibilities
65%Use judgement to manage the daily operations of the Department including the handling of inquiries, policy enforcement, and operational procedures at the department, college, and university levels.Assist in the preparation of Field Education and BSW Program meetings, events, and seminars by collecting data and support materials, arranging for meetings, confirming attendance, visual aids and refreshments.Compile data and create reports as requested by the supervisors.Attend College and University meetings as required. Take minutes at events as needed; share with appropriate parties.Ensure that the Department of Social Work is customer-friendly and responsive to all constituents.Establish needed practices for the processing of information within the Dept. of Social Work.Demonstrate proficiency with Colleague modules with an understanding of the impact on other units.Review and distribute incoming mail based on content.Provide administrative support on contractual personnel matters as related to the college by maintaining personnel records of all Social Work faculty and staff members.Provide support for planning and execution of special events by scheduling and logistical arrangements as well as answering emails, walk-ins, and phone questions related to events.Periodically attend seminars on current technology and support expansion in order to enhance operationsComplete special projects as requestedPerform all duties as assigned including back-up for the subordinates.25%Implement property and facilities management for the Department of Social Work by:Maintaining records of college property to include equipment and furnishingsTracking and recording data for the annual inventoryOriginating physical plant requisitions for the movement of equipment, telephones, furniture or special requestsPreparing space (including originating the proper forms for moving, cleaning, decorating, carpentry, telephone, etc.) as needed for new personnel10% Other duties as assigned.
Hourly Range: $17.72 - $20.02(This is a non-unionized position. Salary starts at the base and is determined based on Education and Experience exceeding the minimum qualifications).

Required and Preferred Qualifications
Required Education and Experience:
High school graduation or equivalentTwenty-four (24) months of clerical/office support work experience including the use of computer systems; comparable to that performed at the Office Support Specialist level of the SUCSS series or in other positions of comparable responsibility.
