The University of Miami has a great opportunity for a Project Coordinator to work at the Coral Gables Campus.

The Project Coordinator organizes project activities to ensure projects are on schedule. This role provides administrative and logistical support including meeting arrangement, progress tracking, and documentation. In addition, this job also prepares comprehensive action plans that detail available resources, timeframes and budgets for projects.

CORE JOB FUNCTIONS

Assists with the assignment of tasks to internal teams to include schedule management. Assists with budget preparation and tracks all project related expenditures. Monitors project progress and addresses any issues that arise. Assists with the identification of completion shortfalls. Acts as the point of contact and communicates the project status to relevant stakeholders. Communicates timeline changes and new information to project team. Creates and maintains comprehensive project documentation, plans and reports. Ensures all needed documentation is current and properly filed and stored. Ensures adherence to standards and requirements by reviewing project objectives against deliverables. Organizes, attends and participates in project meetings. Prepares necessary presentation materials for project meetings. Records minutes and takes detailed notes during meetings. Adheres to University and unit-level policy and procedures and safeguards University assets.

Minimum 1 year of relevant experience

  • Ability to process and handle confidential information with discretion.
  • Proficiency in computer software (i.e. Microsoft Office).

DEPARTMENT ADDENDUM

Department Specific Functions

The Graduate School Project Coordinator oversees and coordinates the day-to-day graduate student and post-doctoral fellows support services in accordance with the Graduate School and the Office of Post Doctoral Programs' academic and strategic missions.

Process graduate student documents to ensure integrity of students' records. Specifically, responsible for uploading all documents in OnBase and related software to ensure accurate student records; and processing the transfer of student transcripts. Manage nomination process for Graduate School fellowships and maintenance of all related documents, including the organization of submissions, creation of master lists containing all candidates, scheduling of selection meetings, preparing nomination packets for reviewers, documenting selection decisions, and preparing award notifications. Draft, finalize and deliver graduate student correspondence related to policy matters governing students' enrollment. Assist with benchmarking and research of important graduate education matters. Manage the annual graduate programs review process (PhD and Masters): track and publish review cycles; review schedule and report submission deadlines; prepare notification to programs, external reviewers, and internal reviewers; organize site visits and visit itineraries; coordinate external reviewer travel; report collection and distribution; schedule all required exit meetings. Process course audits for post-doctoral fellows. Monitor monthly reports of post-doctoral fellow hires and terminations; assist with scheduling of orientation sessions.
