JOB SUMMARY

The Shipping and Receiving Specialist is responsible for performing all shipping and receiving administrative functions [office functions] to ensure order fulfillment, customer satisfaction, and inventory accuracy.

This role requires a candidate to apply an attention to detail with all tasks, manage competing priorities, and maintain a high level of organization.

Knowledge of HMIS / GHS requirements for transport and familiarity with HAZMT products and regulations is required.

DUTIES & RESPONSIBILITIES

  • Demonstrate positive and professional customer service at all times
  • Work with 3rd party logistic companies to assign freight and efficiently manage order flow
  • Read customer service notes and apply necessary changes to orders
  • Assist drivers with proper labeling and placarding of intermodal, interstate, and intercontinental hazardous and non-hazardous chemical shipments
  • Track daily shipments
  • Maintain a digital record for intercompany reporting with key identifiers such as PRO numbers and unique codes
  • Audit and clear shipments for transport
  • Respond to communications both verbally and electronically demonstrating distinct operational knowledge to reduce challenges that may arrive
  • Organize and assemble paperwork for work packets to be used in the facility for orders in the system
  • Communicate with internal and external customers to drive velocity of shipments out the door
  • Communicate daily with vendors and carriers to negotiate successful freight pickups
  • Organize freight vendors for loading and sign-in for goods
  • Collect and maintain signatures for pickups based on directives from the Warehouse leadership team
  • Demonstrate an advance proficiency with all Warehouse software and functions in D365
  • Drive process improvements
  • Effectively, timely, and respectfully communicate and interact with other employees, supervisors, individuals from other organizations, and customers
  • Comply with Company policies and procedures to ensure efficient and consistent warehouse operations
  • Ensures the interface with customers and co-workers is being conducted in a manner that is conducive to operational goals
  • Conduct oneself in a professional manner and ensure personal appearance meets the standards necessary to perform the job functions while representing the company
  • Comply with all safety requirements within the company
  • Comply with all Personal Protective Equipment (PPE) requirements and safe handling practices as required from Safety Data Sheets (SDS) and company procedures
  • Follow WHMIS, MSDS and all other safety training requirements and procedures
  • Follow all government and regulatory requirements when handling and transporting chemical materials
  • Perform other duties as assigned or needed
  • Regular and sustained attendance

QUALIFICATIONS
  • Demonstrate professionalism at all time
  • 3-Years minimum experience in an administrative role
  • 3-Years experience in a manufacturing and/or distribution facility preferred
  • 3-Years demonstrated experience in a shipping & receiving function preferred
  • Effective verbal and written communication skills
  • Strong numeracy skills and attention to detail
  • Proven problem-solving skills
  • Experience with warehouse management software
  • Intermediate Proficiency with Microsoft Suite - Word, Excel, PowerPoint, Dynamics [AX & D365]
  • Must be able to read and write load diagrams, shipping orders, and work instructions
  • Must be able to operate electronic equipment, such as RF scanners or radios as assigned
  • Ability to collaborate effectively and efficiently with colleagues
  • Effective communication skills and time management
  • Occasionally required to stand; walk; use hands to finger, handle, or feel; reach with hands and arms; climb or balance; stoop, kneel, crouch, or crawl; and talk or hear.
  • Specific vision requirements include close vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
  • Ability to stand and/or walk for extended periods of time
  • Excellent interpersonal skills; effective verbal and written communication skills

EDUCATION REQUREMENTS

High School Diploma or GED Equivalent

Bachelor's degree in supply chain, logistics, or related discipline or the equivalent combination of education and experience preferred

OTHER INFORMATION

This position works in an enclosed building that is subject to variances in temperatures, frequent exposure to wet and humid conditions (non-weather); fumes or airborne particles; toxic or caustic chemicals; extreme heat (non-weather), extreme heat in summer, colder temperatures in winter, and loud noise levels.
