This role oversees the configuration, updates, and troubleshooting of Workday and other ancillary HR systems. Primarily responsibility is on the design, implementation, and maintenance of Workday business processes, configurations, and reporting within the HR modules of Workday (HCM, Benefits, Time, Absence, Compensation, Talent, Recruiting, and Learning). The Workday Administrator - HR requires expertise in Workday to configure, optimize, generate reports, validate updates, and troubleshoot issues to meet organization needs by collaborating with the operational teams and subject matter experts. The role is responsible for data integrity, business processes, system configuration, security, testing, issue resolution, reporting and data analysis. The incumbent will maintain an extremely high level of confidentiality, accuracy, and integrity.

Essential Responsibilities:

  • Along with the Director of HR Operations, manage and maintain the Workday system, including configuration, updates, and troubleshooting.
  • Responsible for being knowledgeable regarding the Workday roadmap and upcoming product releases, reviewing release notes, assessing new features, understanding the impacts on business processes and basic changes in functionality and being able to apply this to the workings of the Human Resource department.
  • Monitor system performance, troubleshoots issues, and resolves problems related to Workday functionality, data integrity, and system integrations.
  • Maintain working knowledge of HR areas to understand the HR department needs related to software, data, and reporting. Partner with subject matter experts in areas such as benefit, compensation, learning and development, general HR, and business leaders to ensure the design and development of Workday functionality meets the evolving needs of the business. Collaborate with cross-functional teams to improve processes and analyze business requirements for configurations.
  • Maintain and execute on annual HR projects and tasks using Workday, including but not limited to, objective setting, mid-year and annual review processes, 9-box calibration, bonus and merit processes, succession planning, open enrollment, etc. Ensure timely launch and successful completion of all Workday processes.
  • Analyze and recommend enhancements to streamline Workday processes and tasks while ensuring data integrity.
  • Maintain documentation related to system configurations, processes, and user guides both for end-users and the HR Workday team. Conduct training sessions with end-users, as necessary.
  • Analyze, validate, and audit system data, ensuring data accuracy, and legal compliance. Develop custom reports and dashboards to provide meaningful data analysis. Maintain custom reports scheduled for automatic delivery.
  • Setup and maintain system configurations, automated business processes, system security, etc. Analyze and document business requirements for projects and software configurations and complete projects timely. Implement and manage standard testing procedures for application release updates, which includes creating, reviewing, executing, and tracking test plans and results.
  • Research and troubleshoot non-routine HR system issues, including creating and monitoring service requests with external consultants, as required.
  • Manage multiple projects with competing priorities to ensure all requests are handled in a timely manner.
  • Provide leadership, coaching and training support to all other staff across the organization that have Workday in their roles and responsibilities (i.e. super-users, HRBP's).
  • Proactively prepare for Workday release cycles. Research new functionality to be released or deprecated. Collaborate with SMEs to share release details, establish a testing plan and ensure their testing is completed. Complete testing and ensure all general functionality, reports, integrations, etc. functions and make changes to business processes, fields, etc. as required.
  • Serve as liaison between HR, information services, external vendors, and other stakeholders for HRIS projects.

Supporting Responsibilities:
  • Meet department and company performance and attendance expectations.
  • Follow the PacificSource privacy policy and HIPAA laws and regulations concerning confidentiality and security of protected health information.
  • Perform other duties as assigned.

SUCCESS PROFILE

Work Experience: A minimum of 5 years work experience in Human Resources required and a minimum of 3 years of experience with Workday system administration required.

Education, Certificates, Licenses: Bachelor's degree in Human Resources Management, Business Administration, or related field, or equivalent years of experience required.

Knowledge: Ability to interact with and present to all levels of leadership across the company. Ability to manage multiple complex projects simultaneously. Ability to guide internal customers through the design and delivery of new functionality through a thorough understanding of data and the organization structure. Experience performing analysis of data to meet the needs of customers (HR Business Partners, business or functional leaders, etc.) and to aid in decision making. Experience working cross functionally with teams to gather information/data needed to conduct business needs analysis. Ability to quickly zero in on the highest priorities that add the most value. Eliminate roadblocks and quickly sense what will help or hinder accomplishing a goal.

Environment: Work inside in a general office setting with ergonomically configured equipment. Travel is required approximately 5% of the time.

Physical Requirements: Stoop and bend. Sit and/or stand for extended periods of time while performing core job functions. Repetitive motions to include typing, sorting and filing.
